1. Who we are
SyncTrix is a brand of Digileaf Technologies Private Limited, a private limited company incorporated in India under Corporate Identity Number U63999TS2023PTC175586. Digileaf Technologies Private Limited is the data controller for personal data collected through this website.
For any question about this policy or about how your data is handled, contact us at [email protected]. We treat privacy queries as a priority and aim to respond within five working days.
Where we deliver engineering services to a client, that client is usually the controller of any personal data within their systems and we act as a processor on their instructions under a separate agreement. This policy covers our own website and business contacts, not data we process on behalf of clients.
2. What we collect
We collect only what we need to respond to enquiries and operate the site. We do not sell personal data, and we do not buy contact lists.
| Data | How we get it | Why |
|---|---|---|
| Name, email address, phone number, company, budget range, message | Submitted by you through our contact form | To respond to your enquiry and prepare a proposal |
| Messages you send to our website chat | Entered by you in the chat widget | To answer questions and qualify enquiries |
| Job application details | Submitted by you when applying for a role | To assess your application |
| IP address, browser and device type, pages viewed, referring site | Collected automatically by analytics | To understand which content is useful and to keep the site secure |
3. How we use it
We use personal data for the following purposes:
We do not use your enquiry details for unrelated marketing without your consent, and we do not make automated decisions that produce a legal effect on you.
- To reply to your enquiry, prepare proposals and carry out pre-contract discussions.
- To provide and support services under a contract with you or your organisation.
- To send transactional email you have asked for, such as an acknowledgement of your enquiry.
- To understand aggregate site usage so we can improve our content and structure.
- To protect the site against abuse, fraud and security incidents.
- To comply with legal, tax and accounting obligations.
4. Legal bases for processing
Where the UK GDPR or EU GDPR applies to our processing, we rely on the following legal bases. Where India's Digital Personal Data Protection Act, 2023 applies, we process personal data for the lawful purposes for which you have provided it, or where otherwise permitted by that Act.
| Purpose | Legal basis |
|---|---|
| Responding to an enquiry you submitted | Legitimate interests, and steps prior to entering a contract |
| Delivering services under an agreement | Performance of a contract |
| Analytics and advertising cookies | Consent |
| Security, fraud prevention and logging | Legitimate interests |
| Retaining records for tax and accounting | Legal obligation |
7. International transfers
We operate from India and use service providers that may store or process data outside your country, including in the United States and the European Union. Where we transfer personal data out of the UK or EEA, we rely on an adequacy decision where one applies, or on standard contractual clauses together with any additional safeguards required.
You can ask us which safeguards apply to a particular transfer by contacting us at the address below.
8. How long we keep it
When a retention period ends we delete the data or irreversibly anonymise it. Where a backup still contains the data, it is removed as that backup expires on its normal cycle.
| Record | Retention |
|---|---|
| Enquiries that do not become a client relationship | Up to 24 months from last contact, then deleted |
| Client records and contracts | For the duration of the relationship, then as required for tax and legal purposes |
| Job applications for unsuccessful candidates | Up to 12 months, unless you ask us to delete them sooner |
| Analytics data | Per the retention period configured in the analytics provider |
| Server and security logs | Typically 90 days |
9. Your rights
Subject to the law that applies to you, you have the right to:
- Ask for a copy of the personal data we hold about you.
- Ask us to correct data that is inaccurate or incomplete.
- Ask us to delete data where we no longer have grounds to keep it.
- Ask us to restrict processing, or object to processing based on legitimate interests.
- Withdraw consent at any time where we rely on consent, such as for analytics cookies.
- Ask us to transfer your data to you or another provider in a portable format, where that right applies.
- Nominate another person to exercise these rights on your behalf in the event of death or incapacity, where Indian law provides for it.
10. How to contact us or complain
To exercise any of the rights above, or to raise a concern about how we handle personal data, write to us at [email protected] or by post to Digileaf Technologies Private Limited (CIN U63999TS2023PTC175586), Hyderabad, India. Please tell us which right you wish to exercise so we can respond properly. We may ask you to verify your identity before we act on a request.
We will respond within the period required by the law that applies to your request, and in any event without undue delay. There is no charge for a reasonable request.
If you are not satisfied with our response, you may complain to your data protection authority. In India this is the Data Protection Board of India; in the UK, the Information Commissioner's Office; in the EEA, the supervisory authority in your country of residence.
11. Children
This website is aimed at businesses and is not directed at children. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.
12. Security
We use encryption in transit, access controls, and monitoring to protect personal data, and we restrict access to those who need it for their role. No system is completely secure, so we also plan for incidents: we investigate suspected breaches promptly and notify affected people and regulators where the law requires it.
Our security practices are described in more detail on our security page.
13. Changes to this policy
We update this policy when our practices or the law change. The date at the top of this page shows when it was last revised. Where a change materially affects your rights, we will take reasonable steps to tell you rather than relying on the updated date alone.
